How to Sign a PDF Without Printing It

· 3 min read

Printing a document only to sign it, scan it and email it back wastes paper and time, and the scan usually looks worse than the original. You can sign a PDF directly on your computer or phone instead. The result is cleaner, and the whole process takes a couple of minutes.

Sign a PDF step by step

  1. Open Sign PDF and add the document.
  2. Create your signature:
    • Draw it with a mouse, touchpad, finger or stylus.
    • Type your name in a handwriting-style font.
    • Use a picture of your signature.
  3. Place it on the signature line. Drag to move it, and resize it so it looks natural.
  4. Add the date if the document asks for it.
  5. Repeat on other pages if needed (initials on every page, for example).
  6. Download the signed PDF.

Get a better-looking signature

Signatures drawn with a mouse often look shaky. Two better options:

  • Use your phone. Open the tool in your phone's browser and sign with your finger. It looks much more natural.
  • Prepare a clean signature image once. Sign on white paper with a dark pen, photograph it, and turn it into a transparent PNG with the Signature Maker. Then you can reuse it for every document.

Lock the result

If the PDF had fillable fields or you added annotations, consider flattening it before sending. Flattening turns everything you added into part of the page, so it can no longer be moved or edited in a PDF viewer. Keep an unflattened copy if you might need to change something.

Is it legally valid?

A signature image placed on a PDF is a simple electronic signature. For many everyday documents (rental forms, school permission slips, quotes, many contracts between businesses) that's commonly accepted. But rules differ by country and document type. Some documents require a handwritten signature, a witness, or a certified digital signature with a certificate. If in doubt, ask the person or organisation that needs the signed document. This article isn't legal advice.

Signing PDFs that have form fields

If the document is a fillable form, fill in the fields first with Fill PDF Form, then add your signature with Sign PDF. Fillable forms often have a dedicated signature box, but a placed signature works just as well visually.

Your signature stays with you

A signature is valuable personal data. Uploading it to an unknown server alongside a contract isn't a good idea. With this tool, your signature exists only in your browser and in the PDF you download. Neither the document nor the signature is ever uploaded.

Common questions

Can several people sign the same PDF? Yes. The first person signs and sends the file to the next, who opens the signed PDF and adds their signature. Don't flatten until everyone has signed, unless the document asks you to.

Is this the same as a "digital signature" with a certificate? No. Certificate-based digital signatures use cryptographic keys issued by a trusted provider and show who signed and whether the file changed afterwards. A placed signature image is a visual signature. Use a certificate-based service when a document requires one.

Can I remove a signature I placed by mistake? Before downloading, just move or delete it on the page. After downloading, start again from the unsigned original, which is why it's worth keeping one.

Tips before sending

  • Zoom in and check that the signature sits on the line and isn't covering text.
  • Check every page that needed a signature or initials.
  • Name the file clearly, for example lease-agreement-signed.pdf.
  • Keep a copy of what you signed.

Summary

  1. Add the PDF, create or upload your signature.
  2. Place it, add the date, repeat where needed.
  3. Flatten if you want it locked, then download.
